Waxflower Psychology’s Terms of Service

These Terms outline the basis for the psychological services provided by Wxflower Psychology, the trading name of sole trader Phoebe Beveridge (ABN: 78300118081), a registered psychologist based in Melbourne, Australia ("we," "us," or "our").

By accessing our website or engaging our services, you agree to be bound by these Terms. Please read this document carefully.

 

1. Professional Information

Phoebe Beveridge is a psychologist registered with the Psychology Board of Australia (AHPRA). All services are delivered under the ethical and professional standards of AHPRA and the Australian Psychological Society (APS) Code of Ethics.

 

2. Services, Fees, and Appointments

Session Details

  • Standard sessions are 50 minutes and charged at $260 AUD unless otherwise agreed

  • Fees are reviewed at the end of each financial year (June 30th) and adjusted according to CPI

Medicare and Insurance

  • Medicare rebates are available for eligible clients with a valid Mental Health Care Plan

  • We are not contracted with private health insurers, though some funds may provide partial rebates

Booking and Attendance

  • Appointments are made via email, phone, or online booking

  • If you are more than 15 minutes late, the session may be cancelled and charged in full

  • Please arrive on time as late arrival may result in a shortened session

Cancellation Policy

  • 48+ hours' notice: No charge

  • 48-24 hours' notice: 50% charge

  • Less than 48 hours' notice or no-show: 100% of session fee

  • Exceptions may be made for genuine emergencies at our discretion

Payment

  • Payment is due at the time of service

  • Accepted payment methods: Direct bank transfer, credit card, or cash

  • Overdue accounts may result in suspension of services

 

3. Telehealth Services

  • Sessions may be offered via encrypted platforms such as Google Meet or Zoom

  • You are responsible for ensuring a private, quiet, and uninterrupted space

  • You must attend from a location where confidentiality can be maintained

  • Sessions will not be recorded without your explicit written consent

  • You must not record sessions without our prior agreement

  • Technical issues may require rescheduling but do not waive payment obligations

 

4. Confidentiality and Limits

Information disclosed in therapy is kept confidential, except in situations where:

  • You give consent to share it (e.g., with a GP or other provider)

  • There is a legal obligation (e.g., subpoena, court order)

  • There is a serious risk of harm to you or others

  • Anonymous consultation with supervisors or colleagues for clinical purposes

We attend clinical supervision to ensure ethical and competent practice. Your case may be discussed anonymously in confidential supervision sessions with other health professionals bound by strict ethical guidelines.

 

5. Health Information & Privacy

We comply with relevant legislation including:

  • Privacy Act 1988 (Cth)

  • Australian Privacy Principles (APPs)

  • Health Records Act 2001 (Vic)

These apply to all services provided, including those delivered online to clients located in other Australian states and territories.

Record Retention:

  • Records are stored securely and retained for at least 7 years

  • Or until age 25 if you were under 18 at the time of last contact

  • You may request access to or correction of your records at any time

  • We may restrict access where necessary to protect your safety

6. Communication & Emergencies

Between-Session Contact

  • Email and SMS are used for administrative purposes only

  • We do not offer therapy by email or provide crisis intervention between sessions

  • Brief communication for scheduling or urgent administrative matters is appropriate

We do not provide crisis services. If you are in crisis or need urgent support, please contact:

  • Your GP or nearest hospital emergency department

 

7. Professional Boundaries

Therapeutic Relationship

  • Professional boundaries will be maintained at all times

  • The therapeutic relationship is professional, not personal or social

  • We avoid dual relationships outside the therapeutic context

Social Media and Online Interaction

  • We do not accept friend requests or follow clients on personal social media accounts

  • Professional connections may be appropriate in limited circumstances

  • Online reviews should maintain appropriate professional boundaries

 

8. Treatment and Clinical Practice

Scope of Services

  • Services are intended for individual therapeutic use

  • We provide psychological assessment and therapy, not medical or psychiatric diagnosis

  • Services are not a substitute for emergency medical care

Treatment Approach

  • Treatment planning is collaborative between you and your psychologist

  • You have the right to ask questions about your treatment approach

  • Most therapeutic relationships last approximately 12 months

  • Progress is reviewed regularly and treatment adjusted as needed

Record Keeping

  • Session notes are kept for clinical purposes and stored securely

  • Notes are not shared without your consent except as required by law

  • You can request to discuss the content of your records

 

9. Referrals and GP Communication

  • If referred under a Mental Health Care Plan, we may provide periodic progress updates to your referring GP

  • We request your GP's contact details and a nominated emergency contact

  • Communication with other professionals occurs only with your consent

 

10. Termination of Services

Services may be terminated if:

  • You request to end therapy

  • Treatment goals have been achieved

  • You consistently miss appointments or fail to pay fees

  • The therapeutic relationship is no longer beneficial

  • There are safety concerns or boundary violations

Appropriate referrals will be provided when terminating services.

13. Feedback and Complaints

Internal Process

  • Feedback is welcomed and should be raised directly via email

  • We will respond to complaints within 30 days

External Complaints

For concerns related to:

  • Ethical conduct or professional standards: Psychology Board of Australia or AHPRA

  • Consumer rights: Australian Competition and Consumer Commission (ACCC) or Consumer Affairs Victoria

 

14. Changes to Terms

We may update these Terms from time to time. Changes will be posted on our website with the date of last update. Continued use of our services constitutes acceptance of updated terms.

 

15. Governing Law

These Terms are governed by the laws of Victoria, Australia. Any disputes will be subject to the jurisdiction of Victorian courts.
